Convocation Information for Faculty
Before Convocation
RSVP Online
All faculty are invited to walk in the Faculty Procession. You will receive an invitation via email in May, please follow the RSVP link and complete the form. This is important as the Protocol, Ceremonies and Events Office needs to know how many faculty to expect in the procession and to seat on stage.
Please note: Associate Deans and members of the Okanagan Senate will receive an invitation with different RSVP information specific to their roles.
Regalia
Please visit the UBC Bookstore’s Graduation page and follow the link for the Okanagan campus faculty to rent regalia. The online rental deadline is May 12, 2025.

Convocation Day
Check-in and regalia
The platform party will gather in the lower level of the Hangar.
Okanagan senate members and all participants in the Faculty Honour Guard should arrive 45 minutes prior to the ceremony start time.
- The Chancellor’s Procession (including Okanagan Senate members) will be robed in Hangar Studio 1
- The Faculty Procession will meet in Hangar Studio 2
- Faculty who have rented regalia should pick up their regalia in the Admin Building and then proceed to Hangar Studio 2 to meet up with the rest of the Faculty Procession.
Procession and Faculty Honour Guard
The Faculty Honour Guard begins approximately 15 minutes before each ceremony.
Faculty are asked to gather in the Lower Level Foyer of the gym no later than 20 minutes before the ceremony. Faculty marshals will be on hand to provide guidance.
The Student Procession enters the gymnasium first, followed the Faculty Procession and Chancellor’s Procession.
After the Ceremony
Processions leave the gym in the reverse order that they entered—Chancellor Procession, Faculty Procession, then Students Procession.
All faculty and students are invited to join post-ceremony celebrations in the central courtyard, hosted by alumniUBC.
Volunteer to celebrate our graduates
Note: Volunteer graduation check-in is located in Team Room 4 of the gymnasium.
Graduation is the highlight of our academic year as we watch our students celebrate their achievements with family and friends–and volunteering gives you a front-row seat to witness the excitement!

Each year, more than 2,000 students will walk across the stage to receive their degrees in front of family and friends. It will be one of their proudest achievements and a day they will remember for a lifetime.
Help us make memories and spread joy by volunteering at Convocation.
Volunteer Opportunities
- Ushers: Hand out programs and direct guests to their seats, assist guests with accessible seating, direct families to the photo area, and provide guest support as needed.
- Student Marshals: Lead the student processions from the Administration Building to the Gymnasium and back after the ceremony has concluded.
- Gown and Hood Pinners: Assisting the graduates with pinning their hoods to their gown.
- Alumni Tent: Greeters to welcome the new graduates and their families to the UBC family, assist graduates with downloading the alumni UBC app.
- Framing Assistant: Assist bookstore representative with framing of degrees
